Context

In the context of its activities, GUEPE (Groupe uni des éducateurs-naturalistes et professionnels en environnement) collects, uses and processes information. In doing so, GUEPE places great importance on protecting your privacy and your personal information.

By submitting your personal information to GUEPE, you agree to its processing as indicated in this policy, and you authorize GUEPE, its partners and suppliers (where applicable) to process your personal information in accordance with the purposes detailed below.

Use of Collected Personal Information

We collect personal information through two online platforms that we use to manage our business. We use this personal information to process your order and to ensure your safety when participating in our activities. 

The collected information may include the following:

  • Contact information, such as your name, postal address, e-mail address and telephone number, so that we can identify you, communicate with you or process payments.
  • Demographic data such as your date of birth, user ID and information about your family members.
  • Information about your medical history, such as allergies, pre-existing conditions and physical limitations, emergency contacts and other medical information relevant to your participation in day camp, recreational and outdoor activities.
  • Your Social Insurance Number (SIN), which will be transmitted to the government solely for RL-24 tax credit purposes.
  • Information about your use of our services.
  • Login information such as the date you registered for the platforms and your username.

Forms and Newsletters

When you fill out an online form on our website, whether to request information, register for an activity or subscribe to our newsletter, the data entered, your IP address and your browser's user agent are collected in order to carry out our business activities.

Cookies

We use cookies to improve your browsing experience and to better understand how you use our website. The information collected is anonymous in nature and includes information related to your use of our website, including the pages you visit, the links you click, the language of display, browser type, access time and referring website addresses. You can disable or block cookies by configuring your browser settings.

Retention and disposal of personal information 

Retention

Data will be retained in accordance with applicable legal, regulatory and contractual requirements. Where no specific provisions exist, retention periods will be defined according to the operational, historical, legal or strategic value of the data.

For users who register on our website (where possible) and on our partners' websites, the personal data indicated in their profile is stored on these websites and on GUEPE's systems.

All your data is stored for a period not exceeding 36 months, not including data stored for legal or security purposes.

 

Disposal

A formal data destruction process is established for data that has reached the end of its life cycle or is no longer required for commercial or legal purposes. Destruction is carried out securely, in accordance with best practice and current regulations.

ARCHIVE PRESERVATION

Data that must be retained for legal, historical or regulatory purposes will be archived in accordance with the appropriate requirements.

The rights you have over your data

If you have an account or enter personal information when registering for an activity, you can request to receive a file containing all the personal data we hold about you, including the data you have provided to us. This information will be sent to you once we have correctly identified you. You can also request the deletion of your personal data. This does not include data stored for administrative, legal or security purposes.

Sharing your personal data

The personal data collected is not transmitted to third parties, with the exception of information that must be transmitted to governments such as the SIN for RL-24 issuance purposes.

GUEPE’S Responsibility

GUEPE's Privacy Officer is the organization's General Director. The main mission of a Privacy Officer is to ensure that the organization complies with the legal framework governing personal information.

The person in charge will have to approve the company's policies and practices regulating its governance of personal information within the organization. The person in charge must also implement this policy and ensure that it is known, understood and applied.

The person in charge will be responsible for receiving and processing requests for access or rectification of personal information.
